Property management software case study · Payments + automation

The first property management software to automatically reconcile tenant e-transfer payments

Moe created the first property management software that automatically reconciles e-transfer payments from residential and commercial tenants. Within five minutes of accepting a payment, the software updates the tenant account and issues an invoice. For eligible unpaid residential rent in Ontario, it can also prepare and issue a prefilled N4 notice.

What Moe created

A tenant pays by e-transfer. The software handles the rest.

Before this software, property managers had to identify the sender, find the tenant or business, locate the correct unit or lease, post the payment and prepare the invoice by hand. They repeated the same work for every e-transfer.

The goal was to automate the entire payment workflow: identify who paid, find the correct residential or commercial account, check the rent and balance, post the payment, and issue an invoice within five minutes of acceptance.

What happens automatically

  • Identify the tenant or business that made the payment
  • Find the correct residential unit or commercial lease
  • Post the payment and update the balance
  • Issue an invoice within five minutes of acceptance
Automated e-transfer reconciliation

From accepted e-transfer to posted payment and invoice.

The software completes the administrative work that property managers previously repeated for every payment.

Identify who paid

Use the sender and available account information to identify the tenant or business.

Find the correct account

Match the payment to the right residential unit or commercial lease.

Post the payment

Check the current rent and balance, then update the account.

Issue the invoice

Create the invoice automatically within five minutes of acceptance.

Residential and commercial

The reconciliation works for both types of tenant.

The steps are automatic in both cases, while the software uses the account information that belongs to each type of lease.

Residential

Match the tenant, unit, current rent and balance.

The software updates the residential account and issues the invoice without making staff re-enter the payment.

  • Tenant and unit identified
  • Current rent and balance checked
  • Invoice within five minutes
  • Ontario N4 workflow for eligible unpaid rent
Commercial

Match the business, lease, current rent and balance.

The software uses the business and commercial lease record, including any scheduled escalation already in effect.

  • Business and lease identified
  • Current commercial rent checked
  • Invoice within five minutes
  • Unpaid balance shown for follow-up
Unpaid residential rent

The software can also prepare and issue a prefilled N4.

For eligible unpaid residential rent in Ontario, the software uses the current account to populate the tenant, tenancy, balance and amount owed before issuing the N4.

Information already on file

The amount owed comes from the current account balance.

Property managers do not have to rebuild the tenant record or re-enter the unpaid amount.

Automatic rent tracking

The payment is checked against the rent that is actually due.

Custom integrations in the property management software automatically track residential rent increases and commercial lease escalations. That gives the reconciliation process the current amount due and makes an old or short payment easier to catch.

Why this protects revenue

If an increase or escalation is missing, a payment can appear complete even when the tenant paid the old amount.

The result

Property managers do not have to process routine e-transfer payments by hand.

For a reliable match, the software identifies the account, posts the payment, updates the balance and issues the invoice within five minutes of acceptance.

What the software brings together

  • Automatic payer and account matching
  • Residential and commercial payments
  • Current rent and balance check
  • Invoice within five minutes
  • Staff review for uncertain matches
  • Ontario residential N4 workflow
FAQ

Questions about automated e-transfer reconciliation

What the software does after a residential or commercial tenant pays.

What made this property management software the first of its kind?

Moe created the first property management software to automatically reconcile tenant e-transfer payments and issue an invoice within five minutes of acceptance.

Does it work for residential and commercial tenants?

Yes. Residential payments are matched to the tenant and unit. Commercial payments are matched to the business and lease.

What if the sender name does not match the tenant or business?

The software checks the available payment, tenant, unit, business, lease, rent and balance information. If it cannot find a reliable match, the payment stays available for staff review instead of being posted to the wrong account.

What happens when eligible residential rent is unpaid?

The software can populate and issue an Ontario N4 using the tenant and tenancy details already on file, including the current balance and amount owed.

How does the software know the correct amount of rent?

The wider property management platform automatically tracks residential rent increases and commercial lease escalations, so reconciliation uses the current amount due.
